Fostering Media Connections (FMC) is a nonprofit news organization that uses the power of media and journalism to lead conversations about children, youth, and families in America’s foster care and juvenile justice systems.
We report and produce our own coverage, which is published on two distinct platforms: The Imprint, an online news site, and Fostering Families Today, a bi-monthly print magazine sent to foster parents and kinship caregivers across the country.
Finally, through our Youth Voice program, we train youth involved in the child welfare and youth justice systems on the basics of journalism so they can develop an understanding of the role of journalism in society and take a more prominent position in the policy discourse that shapes their lives.
Position Purpose and Summary
The operations manager position is a full-time role reporting to the co-executive directors. This person will play a critical role in managing the day-to-day effectiveness of FMC including program operations, human resource management, executive and development support and customer service functions.
This is an opportunity for a motivated and detail-oriented individual who wants to make an impact while gaining a broad set of experiences relevant to nonprofit news leadership.
Provide administrative support to co-directors as needed
Assist in prepping for and coordinating board meetings, including direct outreach to board members
HR & Staffing
Organize and facilitate regular all-staff meetings that help build a sense of camaraderie and belonging among staff who are all working remotely
Oversee FMC’s health insurance plan (employee enrollment, renewals, terminations, etc.)
Ensure FMC is compliant with all state and federal laws regarding employees, payroll taxes, time off policies, city and state charity/business registrations, etc.
Responsible for annual update of FMC’s employee handbook
Onboarding new employees and interns
Primary point of contact for recruiting new team members
Oversee FMC’s internship program
Oversee payroll (twice monthly) and manage retirement contributions
Receive and respond to customer requests via email and phone
Fulfill customer orders for back issues of FMC’s magazines, as needed
Process continuing education quizzes included in FMC’s bimonthly magazine
Answer incoming calls and assume other receptionist duties when needed
Assist with staff travel arrangements
Make bank deposits as needed
Audit, streamline and maintain FMC’s filing systems
Assist with tax filings for calendar year and fiscal year, including distribution of 1099s and other documents as needed
Maintain FMC’s various insurance policies such as general liability, errors and omissions, etc.
Manage Operations Assistant who helps process invoices and other tasks as needed
Highly detail-oriented with a passion for process, organization and compliance.
Experience in public service, basic understanding of the state and federal guidelines that are specific to nonprofit organizations.
Bachelor’s degree (or equivalent) with a minimum 5 years administrative experience.
Impeccable customer service and interpersonal skills.
Adept at communicating with employees, representatives of other agencies and community members with a variety of styles and needs. Demonstrates patience, clarity and sound judgment in these interactions, and represents the organization with pride, understanding and an eye toward long-term success.
Commitment to safeguarding confidential information.
Team player with infectious enthusiasm.
Experience with and knowledge of computer operation; knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.), Dropbox and Google Workspace.
Comfortable learning new digital tools (AirTable, Slack, Canva, etc.).
Comprehensive knowledge of standard office practices, procedures, equipment, and techniques; excellent organizational and communication skills.
Compensation and Benefits
The Operations Manager will earn an annual salary of $55,000 to $65,000, depending on experience. Benefits include vacation time, a generous winter holiday break, sick time, subsidized health insurance and a retirement matching plan. You may elect to work from home or use FMC’s co-working space.
