Job Description :
The USC Department of Neurological Surgery in the Keck School of Medicine of USC is seeking a full-time Assistant Research Administrator to join its research administration team. The Assistant Research Administrator will serve as a support liaison between principal investigators, research groups, other departments, Keck School office of research administration, and University offices of contracts and grants, and sponsored projects accounting; downloads and monitors reports supporting project status (post-award); coordinates and organizes events related to sponsored projects; and, participates in and contributes to process improvements and group projects.

This position may work with several units simultaneously or have overlapping work assignments. This is a full-time staff position that supports post-award research administration and financial/payroll administration. The ideal candidate will have a bachelor’s degree and 2+ years of experience in contracts and grants administration, accounting/finance, and project management, along with the ability to skillfully and cheerfully manage multiple and competing priorities in a fast-paced environment. This position reports to and works in close collaboration with the department’s Research Administrator.

Post-Award Account Management and Financial Reporting :

Administers assigned accounts, monitors actual income, authorizes expenses and may develop projections for departmental financial commitments. Reconciles accounts to assure all account activity is related to the project(s) and charged appropriately.
Monitors departmental balances and processes budget changes when necessary. Reviews agency guidelines to confirm budget changes are in compliance with the specified requirements of individual agencies.
Updates original proposal account budgets. Confirms that any cost-sharing requirements are set up properly and fulfilled.
Maintains project reports and data sheets to document and communicate current project status.
Processes, tracks and posts expenditures for travel reimbursements and invoices on appropriate accounts. Expedites procurement orders and reimbursements, requisitions and foreign drafts.
Provides faculty with account summary and account projections on awards to ensure the original scope of work will be satisfied.
Keeps up with current USC/Department/Agency compliance and expenditure policies and procedures. Communicates information to ensure these policies are followed.
Participates in project closeout and extension processes.
Serves as primary communication liaison between faculty, the Office of Sponsored Project Accounting, the Department of Contracts and Grants, and program sponsors as required.

Payroll and Personnel :

Reviews payroll projection reports.
Utilizes the university’s online E-cert effort certification system, reviews and prepares quarterly and semester reports for faculty.

Administration :

Routinely meets with faculty and principal investigators.
Attends department, school and central meetings.
Contributes to process improvements.
May take on additional administrative tasks as determined by the department.

Minimum Education: Bachelor’s degree Combined experience/education as substitute for minimum education Minimum Experience: 1 Year Minimum Field of Expertise: A Bachelor’s Degree or equivalent combination of education and experience with broad knowledge of relevant research computer software, e.g.: Microsoft Access, Word, Excel, PowerPoint; Outlook, SPSS, Visio, and SunGard. Experience in creating and analyzing statistical reports. Must be able to utilize computer technology to access data, maintain records and generate reports. Proven oral and written communication skills to interact with other employees.
