Job Description :
The USC Department of Neurological Surgery in the Keck School of Medicine of USC is seeking an experienced Research Administrator to join its research administration team. The department’s faculty member principal investigators generate wide ranging and complex research programs, sponsored projects, contracts and grants. The Research Administrator is responsible for complex research proposals from start to finish and will interact with principal investigators, the Keck School Office of Research Administration, USC’s Department of Contracts and Grants (DCG), Sponsored Projects Accounting (SPA), and other University offices to facilitate the exchange of information and provide services associated with pre- and post-award administration of sponsored projects.
The ideal candidate will have a bachelor’s degree and 5+ years of experience in research administration, grants administration (NIH), and project management; keen attention to detail; superior organization skills; excellent relationship building and stakeholder management skills; and, the ability to lead through impact and influence and thrive in a fast-paced collaborative environment. This position recruits, screens, hires, trains, directly supervises and leads all assigned staff. A hybrid work schedule is available for this position.
Accountabilities
Prepares complex proposals within parameters of sponsored and non-sponsored research guidelines in partnership with various stakeholders.
Develops, prepares, revises, and finalizes project budgets, and provides budget justification.
Resolves pre-award administrative issues.
Collaborates with the Keck School Office of Research Administration, USC Department of Contracts and Grants, and USC Sponsored Projects Accounting to ensure awards are set up, administered and closed out properly.
Reviews and approves expenditures.
Develops and communicates reports supporting project status. Manages contract closeout process and audits inquiries.
Interprets complex University and government policies. Identifies and implements process improvements.
May negotiate and communicate with federal and state sponsors, industry sponsors, other institutions, and/or University schools or divisions in regard to application issues.
Maintains awareness and knowledge of current changes within legal, regulatory, competitive economic and technology environments which may affect specialized programs.
Serves as a Subject Matter Expert (SME) and an advisor to stakeholders regarding sponsored projects administration.
Payroll and Personnel :
Prepares payroll costing allocations for faculty, staff and students paid on sponsored research and unrestricted funds.
Reviews payroll projection reports.
Utilizes the university’s online E-cert effort certification system; reviews and prepares quarterly reports for faculty.
Administration :
Routinely meets with faculty, principal investigators and department senior administration.
Attends department, school and central meetings.
Designs and manages work flow and process improvements.

Minimum Education: Bachelor’s Degree Combined experience/education as substitute for minimum education Minimum Experience: 5 Years Minimum Field of Experience: Expert knowledge and fluency of governmental regulations (e.g. FAR, A-21, A-110, A-133, CAS). Knowledge and ability to understand, interpret, and communicate University policies and procedures. Excellent oral, written, and communication skills. Excellent analytical skills; demonstrated proficiency in Excel and web-based tools. Strong accounting skills; knowledge of accounting principles. Expert in project management, including managing international collaborations and complex multi-sub award contracts. Knowledge of personnel management, including proposing effort for and training and hiring of students, post-doctorals, academic appointments, regular staff, bargaining unit staff, and consultants, along with the circumstances appropriate for each type of position.
