The University of California, Los Angeles (UCLA) Information Technology Services organization is seeking a Project Manager with an exceptional commitment to service excellence to join our Enterprise Portfolio and Project Management Office (ePMO) team, collaborating with diverse and talented team members to implement leading edge applications, systems and services that support the mission of education, research and service.
As a key member of the team, the Project Manager collaborates with stakeholders, subject matter experts, project leaders and users to ensure consistent and exceptional execution by the Project Management Office for complex projects for the UCLA Campus enterprise, coaching project approach and methodologies, development and oversight of complex project plans, controlling project scope, and guiding specific workstream activity towards the completion of deliverables. Provides structure and consistency across workstreams to manage ambiguity, facilitate workarounds and solutions, and to ensure project delivery on-time, within scope and planned budget.
Activities include: Builds and sustains collaborative relationships with project community to ensure alignment, consistency, and synergies across workstreams for coordinated and timely execution of deliverables for complex or highly complex projects that support the campus enterprise. Establishes, socializes, and maintains project related processes and workflows for all workstreams, championing and coaching Design Thinking and Agile methodologies, applying tools, service management frameworks, and conveying project vision throughout the life-cycle. Oversees the effective utilization of standard project management tools (i.e. Smartsheet, Atlassian Jira, Promapp, UCLA BOX, Zoom, Google Tools, and/or MS Visio) while communicating project related processes and procedures. Ensures effective and timely communications amongst workstreams. Generates project related status reports, and maintains accurate tracking logs; identifies and proactively escalates issues, creating strategies for risk mitigation and contingency planning, and escalating disruptions and dependencies to project leadership, as necessary. Utilizes pertinent scope control processes, developing project progress and compliance reports, and presents regular updates by participating in project team meetings. Aids the cultivation of an inclusive environment and a culture of trust and transparency, sharing information broadly, openly, and deliberately. Builds and maintains collaborative relationships with diverse groups of peers, team members, and leadership. Collaborates with team members and management, implementing effective solutions to support the Program Management Office’s vision. Maintains knowledge of current and future business needs, university-wide technology initiatives, and leading-edge project management practices. Contributes to process improvement efforts within the team and across the organization. Performs other duties as assigned or requested.

Required/Preferred
Minimum of five years of experience managing complex enterprise-level projects including development and management of formal project plans using standard project management tools such as MS Project (or similar).
Required
Possess deep knowledge of information technology concepts and terminology coupled with an understanding of how systems interrelate.

Skilled in Agile project management techniques and tools; ability to adapt methods to needs of organization.
Required
Possess the verbal and written communication skills to work effectively with technical and non-technical staff at various levels in the organization; ability to use standard English grammar and punctuation; demonstrated experience in presenting topics to groups of various sizes.

Demonstrated skill in effective formal and informal communication with stakeholders and project team members.

Demonstrated experience conducting needs analysis, defining information/workflow, reporting requirements and ability to create documentation using standard terminology and formatting.

Bachelor’s degree in Business, Communications, Information Systems (or related) OR combination of equivalent relevant professional experience and training.

PMP (Project Management Professional) certification.
