Job Description :
The USC Department of Neurological Surgery in the Keck School of Medicine of USC is seeking an experienced Associate Research Administrator to join its research administration team. The department’s faculty member principal investigators generate wide ranging and complex research programs, sponsored projects, and contracts and grants. The Associate Research Administrator participates with principal investigators in the preparation and submittal of proposals within parameters of sponsored and non-sponsored research guidelines; develops, prepares, and finalizes project budgets; and serves as primary liaison and active partner between principal investigators, research groups, other departments, Keck School office of research administration, and University offices of contracts and grants, and sponsored projects accounting. The Associate Research Administrator reviews and approves expenditures, develops and communicates reports supporting project status; participates in contract closeout process; understands, applies, and advises on University and government policies for projects; serves as a resource on subject matter and overall technical resource to principal investigators and other University staff; and, participates in and contributes to process improvements.

This position works under the guidance and direction of the department’s research administrator. The ideal candidate will have a bachelor’s degree and 4+ years of experience in research administration, grants administration, and project management, and, have the ability to skillfully and cheerfully manage multiple and competing priorities in a fast-paced environment.

Pre-Award :

Assists assigned faculty and research team members in the preparation and submission of proposals.
Manages budgets and all account activity for sponsored projects. Gathers necessary data for individual proposal, included all budget and administrator documents in accordance to agency and university guidelines.
Reconciles and generates monthly financial reports. Provides faculty with account summaries and projection reports on regular (monthly) and as-needed basis. Conducts forecasts/projections to ensure that original scopes of work are satisfied for funded projects. Prepares financial and/or progress reports requested by agencies for award continuation and/or final reports.
Supports all elements of institutional compliance to ensure that all policies and procedures are followed across all areas of research administration.
Liaises with faculty, Keck School of Medicine of USC’s Office of Research Administration, USC’s Department of Contracts and Grants, and Sponsored Project Accounting to further all elements of research operations. Provides other administrative support as needed.

Payroll and Personnel :

Prepares payroll costing allocations for faculty, staff and students paid on sponsored research and unrestricted funds.
Reviews payroll projection reports.
Utilizes the university’s online E-cert effort certification system; reviews and prepares quarterly and semester reports for faculty.

Administration :

Routinely meets with faculty and principal investigators.
Attends department, school and central meetings.
Contributes to process improvements.

Minimum Education: Bachelor’s degree Combined experience/education as substitute for minimum education Minimum Experience: 3 years Minimum Field of Expertise: Basic knowledge of governmental regulations. Strong accounting skills. Competency in project management. A Bachelor’s Degree with broad knowledge of relevant research computer software, e.g.: Microsoft Access, Word, Excel, PowerPoint; Outlook, SPSS, Visio, and SunGard. Experience in creating and analyzing statistical reports. Must be able to utilize computer technology to access data, maintain records and generate reports. Proven oral and written communication skills to interact with other employees.
