Job Description :
Under the direct supervision of the Chief Administrative Officer (CAO), provide both specific and general administrative coordinator support for the ISG leadership, staff, faculty, researchers, students, and visitors of the Institute for Society and Genetics (ISG). Responsibilities include general and wet lab purchasing, payments, reimbursements, a variety of general administrative duties, event and programs coordination, student affairs assistance for the undergraduate program, course and instructor support, meeting and appointment scheduling, equipment maintenance, parking, facilities, website, database, ISG Digest and mailing list maintenance and updates, and basic assistance with contracts and grants, and academic personnel functions related to ISG operations. This position requires a high level of organization, coordination, and attention to detail, and the ability to communicate clearly across a variety of platforms and within a diverse community.

Qualifications for Position
Excellent English language skills, both oral and written.
Demonstrated skill in operating desktop computers, photocopiers, projectors, FAX machines, phone systems and other standard office equipment. (E)
Excellent communication skills to speak effectively by phone and in person to obtain and convey information clearly and concisely.
Word processing skills to prepare general administrative documents, data sets, general internal reports, according to formats provided. (E)
Superb organization and coordination skills, establishing and maintaining priorities to follow through on assigned tasks without prompting. (E)
Interpersonal skills to establish and maintain cooperative working relationships with and convey information clearly and accurately to all levels of campus administrators, faculty, fellows, students, visitors and outside vendors. (E)
Demonstrated skill in the use of University purchasing and acquisition systems, lab ordering software, and related policies and procedures. (E)
Basic knowledge of HBS majors and Society and Genetics minor, including curriculum, requirements, policies and procedures. (E)

Basic knowledge of selected Student Records components of the OASIS system
Can be trained
Working knowledge of MS Office suite (especially Word and Excel), and Adobe Creative Suite (will train), standard email and web-based applications. (E)
Working knowledge of WordPress, website software and associated markup language (HTML, XHTML)
Knowledge of on-line asset management system. (E)
Working knowledge of how to find and apply University policies and procedures related to areas of responsibility.
Knowledge of Google applications, and various appointment booking systems. (E)
Strong ability to prioritize and problem solve to accomplish assignments on time and with maximum accuracy.
Strong ability to maintain effective record keeping and information retrieval systems in paper and electronic formats.
Strong ability to work equally well independently or as part of a team, as tasks and departmental needs dictate.
Strong ability to work effectively under pressure of competing priorities and deadlines
Strong ability to maintain confidentiality when dealing with sensitive or confidential information.
