SUMMARY:
EVENTS MANAGER RESPONSIBILITIES
Serve as the logistical point person and provide consistency in presentation for all campus events including but not limited to Opening Days, Graduation Weekend, Family Weekend, Alumnae/i Reunion, Spring Gala
Coordinate with administration, staff, external vendors, and others to proactively establish needs for events.
Help with advance planning and organizing participants on the day of event Plan and facilitate logistics for all events, including, but not limited to, guest lists, venue preparation, coordination of materials, security, catering, entertainment, transportation, equipment, and decor.
Work with vendors to get bids and determine best fits for the budget and goals of the events.
Ensure all events are created and set up properly in the campus event management system.
Collaborate with departments such as the Offices of the Dean of Students, College Counseling, Admission, Diversity, Equity and Inclusion, Parent Engagement and Alumnae/i Engagement in planning events.
Collaborate with the Communications Office to ensure all internal and external communications pertaining to events are aligned with the School’s mission and consistent with the School’s brand guidelines
Coordinate with Operations, Facilities and Grounds Departments to organize all campus-wide beautification efforts, both annually and seasonally, to include container design and landscaping choices.
Assist special events team with coordination, set-up and break down of meetings/events/conferences
OTHER DUTIES
Assist the Director of Operations in the coordination of campus operations and provide administrative support for Operations departments.
Serve as a member of the School’s core calendar committee
Assist with the development of processes, instructions, and other facilities-related documents required to cross-train on systems or functions.
SKILLS AND QUALIFICATIONS:
Proven success as an event planner or coordinator
Strong interpersonal and communication skills
Experience in maintaining and building enriching relationships with a variety of constituents
Excellent organizational skills, including multitasking, time management, and meticulous attention to detail
Ability to work well under pressure, work collaboratively and independently
