Job Description :
Provide oversight and support for office service and facilities function
Assist with vendor management including but not limited to:
Vendor agreements, vendor communication
Invoice review and processing
Expense report processing
Handle COI request as needed
Assist with office service expense oversight, approvals and processing
Handle incoming building service requests and needs for staff across offices
Building Engine requests: new ID, temperature complaints, freight elevator needs
Dealing with multiple vendors – placing orders and following up to ensure timely delivery
Support facilities management with office related projects: space planning, remodels, expansion, relocations, etc.
Assist with floor plan updates including seating assignments and changes
Covering the facilities manager function in her absence
Provide support to external teams on special projects on an as needed basis
Stocking of pantries and kitchens supplies when other staff are out
REQUIRED BACKGROUND
3 to 4 years office service experience – Prior office services experience supporting multiple offices a plus
Four year college degree
Strong service orientation and positive attitude a must
Superior interpersonal, organizational, written and verbal communications skills.
Attention to detail, appropriate follow-up to with staff and vendors required
Computer proficiency required; knowledge of Word, Excel, PowerPoint
