Job Summary:
Performs day-to-day administrative duties and activities of the plant including, accounting, Human Resources, maintaining health and safety records, event planning, developing, and maintaining the Plant’s filing system, assisting managers, answering high volume of phone calls, greeting visitors, and managing the mail flow.
Job Functions:
Environmental, Health, Safety, and NERC:
Performs all duties in accordance with requirements detailed in the Facility’s Environmental, Health, Safety, and NERC programs
Participate in committees and task forces as required, for plant operations and improvements.
Assist in coordinating annual Contractor Environmental, Health, and Safety performance verification.
Maintains the Plant regulatory files and postings
Maintains all OSHA 300 logs and OSHA required postings
Manages GPi Learn Plus training program for New Hire Safety Training and Annual Compliance / NERC Training.
Generate monthly GPi Learn Plus training report.
Oversee and files Worker’s Comp claims.
Prepare PPE for plant tours.
Human Resources:
Assists in the development of administrative procedures to ensure consistent and safe operations.
Perform Time Administrator functions weekly by verifying accurate timesheets and timely payroll submission.
Coordinate and complete all New Employee Orientation and E-Verify.
Act as the onsite contact for Human Resources matters for all employee benefits.
Track and assist employees with Leave of Absence per State and Federal regulations.
Post and maintain all required Labor Law State & Federal regulation posters.
Support Corporate Human Resources as needed.
Accounting, Purchasing, and Invoicing:
Works closely with Management and O&M – Systems Technician to develop commercial lines of credit so the Company can purchase on a net 30 (or based on owner and leadership team needs) day credit basis.
Performs data entry of purchasing information into the Computerized Maintenance Management System to facilitate adequate record keeping of purchasing activities.
Codes invoice documents to the appropriate charge number and center for accurate cost tracking.
Daily data entry and bi-monthly invoicing of fuel, limestone, and ash receipts.
Update the Daily Fuel Report.
Input and maintain the fuel analysis spreadsheet (Fuel Plus Labs).
Compiles and prints various purchasing reports as needed.
Collaboratively work with corporate finance to ensure timely and promote payment of all invoices.
Acts as the point of contact for managing customer AP concerns.
Imprest and Petty Cash – Accurately maintain and reconcile the Imprest (Checking) and Petty Cash accounts, including proper check requests, receipts, and submission for reimbursement.
Balance and reconcile procurement card account each month. Submit documentation as necessary.
Accounts Payable – Accurately process and verify invoices for payment. Close purchase orders or change status as appropriate through the Mainsaver program when invoice is paid. Maintain copies of all invoice documentation in plant files. Review month end financials for accuracy and determine variances as required.
Purchase Orders – Ensure accuracy of purchase orders, correct cost codes, correct signatures, DOFA signature levels, etc. Copy and distribute to proper parties. Check purchase orders and contracts prior to signatures to ensure approved purchase order amounts are not exceeded without change orders.
Create and Manage Blanket Purchase Orders in Mainsaver.
Event Coordinating:
Oversee and manage events: company picnics, holiday parties, National Bioenergy Day, luncheons.
Manage all logistics for events: communicate with vendors, secure venue, coordinate set-ups, catering, etc.
General Office Duties:
Greet visitors and represent the facilities in a professional manner. Control access to the inner office area.
Handle phone calls and mail distribution in a timely, professional, and dependable manner. Manage the IP phone system, update outgoing messages, and provide user training as required.
Maintain files with established filing systems.
Archive and discard files as per document retention procedures.
Prepare reports, correspondence, and other documents using Microsoft Office applications.
Make travel arrangements and complete travel expense forms for leadership team.
Schedule meetings and conference rooms. Sets up equipment and arranges for catering services. Arrange meeting place teleconferences as assigned.
Copy and compile materials for business meetings, training sessions, etc.
Order office supplies and ensure that sufficient inventory is available in an organized manner.
Prepare accurate monthly reports and other business reports as assigned.
Perform other duties as assigned.
Education and Experience:
High School diploma or equivalent level of work experience.
Minimum of three years of administrative support in an industrial environment.
Successful completion of applicable pre-employment drug testing and formal background checks.
Must possess intermediate level of computer literacy utilizing Microsoft applications: Word, Excel, Outlook.
Must be able to work extended hours.
Must be able to perform the physical demands of the job.
Knowledge of Mainsaver and Scale House Weigh software.
Knowledge, Skills and Abilities:
The Plant Administrator position is responsible for all the plants administrative needs including, but not limited to the following: Filing, Typing, Human Resources, Accounting and all other duties as assigned. This job requires a lot of typing and data entry.
This position requires a person to use a variety of office equipment. It also requires the use of computer skills
Vehicles or moving equipment driven as part of the job. This position requires the ability to operate the plant pickup.
Knowledge of Mainsaver and Tac Insight – Fast Weigh is a plus.
Work Environment:
Protective equipment such as hard hats, safety glasses, air masks, ear protection and other equipment must be worn in the performance of some duties. Work with hazardous materials may be required.
Requires working 8-hour shift
Includes working indoors and outdoors
Position may be assigned to work remotely during COVID.
Physical Abilities:
Must be able to work on feet for extensive periods, requiring stair and ladder climbing, and routinely lifting 25 pounds.
