The Role Logistics
We need a right-hand to our sales and operations team in a variety of areas for our fast-paced, and ever-changing administrative and project management tasks! Our objective is to find the right person so that we’re all doing what we love to do in support of our company goals.
This will be a hybrid position. It is our goal to meet in person about once a week in our co-working space in Hudson, NY or in a mutually agreed upon location in NYC.

Responsibilities and Areas of Need
Below is a list of areas where we have gaps and need your help, in priority order.
Manage project production from start to completion – including gathering client information, checking supplier inventory, preparing and submitting orders to suppliers, monitoring production, communicating with clients on timeline and deliverables, tracking and staying on top of progress.
Support day-to-day client and supplier needs – including ordering and tracking product samples, working with fulfillment center to ensure projects have been delivered, and any other details that need addressing.
Respond to daily customer communications (regarding project deliverables and monitoring our customer ticketing system) using clear, empathetic, and customer-friendly language via email, phone, and voicemail..
Collect KPI metrics from a variety of sources and import data into our spreadsheet dashboards. Create impact reports for our clients.
Perform research for the leadership team, clients, and other projects, as needed – examples may include new product research, and creating client presentations.
Assist in process development and improving efficiencies by creating and/or maintaining SOPs, checklists, and other documentation for clear communication and optimized processes.
Coordinate with accounting/ bookkeeping firm to ensure accuracy of expenses and invoices

You are able to learn quickly, aren’t afraid to ask questions, take initiative, and are proactive with your communication.
You excel at balancing being thorough and efficient in a majority remote work environment.
You have an internal drive and strong organization and prioritization skills so you can exceed expectations with very limited supervision.
You take pride in refining your communication, both written and verbal, and especially the ability to speak client-friendly language that makes them feel safe and supported.
You read and follow instructions with precision. Special note to see if you’re paying attention. Put the secret code “I have found my peeps” in the 2nd to last application question.
You are eager to learn new tech tools. We work with a variety of online tools and you will need to be able to use these with some basic training, including but not limited to: Google Docs, Canva, and industry specific platforms. You are proactive about finding new ways to do things more efficiently.
You have a reliable computer and internet connection and can use video conferencing services such as Zoom.
