Job Summary:
The Administrative Assistant performs a variety of administrative and clerical tasks. Duties include providing support to managers and employees, assisting in daily office needs and managing company’s general administrative activities. Additional responsibilities may include making travel and meeting arrangements, preparing reports and maintaining appropriate filing systems.

Knowledge of office management systems and procedures

Bilingual preferred but not required

Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)

Excellent time management skills and the ability to prioritize work

Attention to detail and problem-solving skills

Excellent written and verbal communication skills

Strong organizational skills with the ability to multitask

High School degree; additional qualification as an Administrative Assistant or Secretary will be a plus

Essential Responsibilities:

Answer and direct phone calls, plan/coordinate meetings, attend assigned meetings scribing detailed minutes, organize and schedule appointments and Book travel arrangements as needed.

Perform general office duties including ordering supplies, open, sort and distribute incoming correspondence including mail, faxes and email, maintain postage machine, assist with technology/social media updates, and oversee organization of donation/storage room.

Assist in the preparation and distribution of regularly scheduled reports and develop/maintain a filing system.

Update and maintain office policies and procedures.

Greet visitors acting as the point of contact for internal and external clients.

Other duties as assigned by supervisor.
