Job Description :
Fountain House is seeking a full-time Administrative Assistant to join our savvy and customer-oriented Human Resources team. This person is well-organized, has excellent attention to detail, and enjoys communicating with people.
The Administrative Assistant will be responsible for supporting all members of the HR team by fielding HR email, answering calls, and preparing and distributing of updated HR information (processes, procedures, etc.) . Requirements:

Serve as initial contact between HR and the organization; answer questions about policy accurately; and field messages (email/phone) to appropriate function (recruiting, employee relations, payroll)
Build trust and positive relationships between HR, staff, and other stakeholders by being readily available to answer questions and occasionally visiting Clubhouse and other locations (at least twice monthly)
Expedite documentation for employee leaves, resignations, and terminations and ensure all information is recorded with accuracy into the HRIS
Handling the documentation of employee separations and ensuring individuals receive the correct notices
Handle regular employee changes in HRIS
Attend team meetings, prepare and distribute HR notices, take minutes from meetings
Support Recruitment with background checks and other processes
Review Vaccination cards and IDs
Support the updating, maintenance, and dissemination of the Employee Handbook
Create and maintain employee HR Newsletter/Calendar
Track and disseminate changes and updates to policies and procedures
Supports the maintaining of compliance to procedures and processes
Participate in organizational meetings
Participates in additional duties as assigned


Excellent verbal and written communication skills, including the ability to effectively communicate with internal stakeholders and external vendors
Works with a sense of urgency; customer service-oriented
Excellent organizational skills and attention to detail
Creative thinker and a knack for trouble shooting
Strong proficiency with MS Office Suites, including Excel and PowerPoint, is required.
Must be able to work under pressure and meet deadlines
Ability to work independently and to conduct assignments to completion within parameters of instructions given, prescribed routines, and standard accepted practices
Sense of humor helpful


Minimum of 3 years’ experience as an HR Assistant, Administrator or similar role required
Associate degree required; bachelor’s degree preferred
Familiarity with HRIS (Paylocity a plus) and/or desire to learn quickly
